Late fees and the overdue dunning sequence

Philani Chade Maswanganye · 25 April 2026 · late-fees · overdue · billing

What happens when a customer pays late

QUALICORE follows a four-step dunning sequence:

| Day past due | Action | | -----------: | --------------------------------------------------------------------- | | 0 | Invoice marked overdue. Friendly reminder email. | | 7 | Late fee added (configurable %; default 2% of outstanding balance). | | 14 | Second reminder + super-admin notified. | | 30 | Account moved to 'suspended'. Read-only access; no new evaluations. | | 60 | Charge-off candidate. Super-admin confirms before write-off. |

The customer can settle at any point — the system will reverse the suspension and restore full access automatically once the balance is zero. Late fees can be waived manually via the apply-discount lever with reason "late fee waiver".
